Non-Refundable Service Fee Notice


We charge a non-refundable bookkeeping fee of $25 at the time of booking. This fee is standard for our services and will be applied to your account.


Please note that this $25 fee is strictly non-refundable under all circumstances. This includes, but is not limited to, cancellations resulting from illness, inclement weather, family emergencies, or any other unforeseen events.


The Palms at Indian Head Hotel Policies:

GUESTS, RATES & OCCUPANCY

  • Minimum Age Restriction: All registered guests must be 18 years of age or older. Minor children (13+) are only permitted when accompanied and strictly supervised by a registered adult at all times.
  • Rates & Occupancy: Base rates cover 1–2 adults. Additional adults are $20/night; children (13+) are $10/night. Maximum room capacities are strictly enforced:
  • Standard Room, Casita, Queen Mini Suite: Maximum 2 guests.
  • Deluxe King / MCM: Maximum 3 guests.
  • Deluxe Queen: Maximum 4 guests.
  • Rollaway beds are available on a first-come, first-served basis for select rooms only.
  • Families with Children: For the comfort and convenience of your family, guests with children (13+) are highly encouraged to book Rooms 6 & 7.

ARRIVAL, DEPARTURE & PAYMENTS

  • Check-In: 3:00 p.m. Please call the front desk on the day of your arrival to inquire about early check-in availability.
  • Check-Out: 11:00 a.m. Keys must be returned to the front desk upon departure. A $10 fee will be charged for each lost key.
  • Late Check-Out: Subject to availability and front desk discretion. Check-out may be extended up to 2:00 p.m. for a $20 fee. Please inquire on the morning of your departure.
  • Early Departure: No refunds or credits will be issued for early checkouts.
  • Cancellation & No-Show: All cancellations are subject to an automatic, non-refundable $25 deposit loss regardless of when the cancellation occurs. Cancellations made within 72 hours of arrival will result in a penalty charge of the first night's room rate plus tax. Failure to arrive (No-Show) or cancellation on the day-of will result in a penalty of the entire stay.

PROPERTY RULES & CONDUCT

  • Quiet Hours & Parties: Strict quiet hours are enforced from 10:00 p.m. to 7:00 a.m. No in-room parties, loud music, or noise nuisances are permitted. Please respect your fellow travelers.
  • Visitors: No outside visitors are permitted on the property after 11:00 p.m. Visitors must be accompanied by a registered guest at all times.
  • Pool Rules: Open daily from 9:00 a.m. to 9:00 p.m. The pool is naturally heated. No glass containers, coolers, grills, barbecues, or external radios are allowed in the pool area.
  • Smoke & Vape-Free: The Palms is a 100% smoke-free and vape-free property. Violating this policy results in an immediate $150 specialized cleaning fee.
  • No Open Flames: To reduce fire hazards, candles, incense, combustibles, and fireworks are strictly prohibited anywhere on the premises.
  • Pets: Pets are not allowed on the property. ADA-defined service animals are welcome.
  • EV Charging: Plugging electric vehicles into standard hotel wall outlets is strictly prohibited.

LIABILITY & LEGAL

  • Right to Refuse Service: The Palms is privately owned. Management reserves the right to refuse service to anyone for any reason that does not violate State or Federal laws.
  • Management Access: Management reserves the right to enter any room—even those with a "Do Not Disturb" sign displayed—for reasonable purposes including emergencies, necessary maintenance, or to address a suspected policy violation.
  • Lost & Found: The Palms assumes no financial liability for lost, stolen, or damaged personal belongings.
  • Firearms & Weapons: Firearms and weapons of any kind are strictly prohibited on hotel property.
  • Illness: The Palms reserves the right to refuse accommodations to any guest arriving with a highly contagious disease. Guests may be billed for any specialized sanitization expenses incurred.
  • Parking: Free parking is provided for guests. All vehicles are parked entirely at the owner's risk.
  • Force Majeure: The Palms is not liable for failure to provide accommodations or services due to circumstances beyond our control, including severe weather, natural disasters, utility outages, or government mandates.
  • Damages & Violations: Registered guests are fully liable for any property damage or theft caused by anyone in their party. A blanket $150 fee, plus the cost of repairs, will be assessed for any general policy or house rule violations
